Enter a descriptive name such as Finance Committee Meeting or Book Group, rather than just Committee Meeting or Group Meeting.
Enter the date the event occurs or first occurrence for repeating events. This is a dynamic field, choose your date from the popup calendar
Start time of actual event, do not include setup time.
End time of actual event, do not include take down time
This is time needed before your event to set up things. If it’s less than 15 minutes, this should be incorporated into your event time. Typically, this is used to set up tables and chairs. Requester Info

The Requester name and email is the person who fills out the form. This is who the Admin will contact if they have questions about the event form information. This person can be different than the contact person. This name will *not* show up on the event information

Contact Info

The Contact name and email is the person who attendees will contact for information about the event. Their name and email *will* show up in the event information (as it does now).

Location & Description

Please check facility calendar first to make sure requested room is free. This dynamic field lets you choose individual rooms and various combinations of rooms (e.g. social hall and kitchen). It also allows you to choose a virtual option and offsite/other, details of which should be put in the Other/Virtual Location Details box.
Include a description of the event, if signups are needed, and what it’s about so others can decide whether this is something they want to attend.

Additional Info

This field categorizes our events so the Admins can apply the appropriate facility and rental considerations. If you do not know what the correct category is, contact the Admins or your Program Council Liaison.
Enter the Cluster Group (or Rental category) that your event falls into. If you are unsure, contact the Program Council. This information lets the Admins know which Cluster Liaison to contact if needed and helps the Program Council understand the needs of the congregation. For more info see cluster group cheat sheet.
Indicate if you would like to use any of these resources. The Admins will let you know who to contact to arrange for your request (e.g. AV contact) or if your requested resource is not available (e.g. the cart TV is being used). The Other box allows you to enter a different request not on the list (e.g. table linens). This is also the field to indicate if you want virtual capabilities in addition to a physical meeting space.
