UUFRC Program Council Minutes – September 26, 2020, 7 pm, via Zoom

Minutes of August meeting – approved.

PC Cluster Groups

Operations (Alex): Building, Committee on Ministries, Communications, CUUE

Congregational Life (Lori):  Caring, Connections

Justice & Outreach (Ellen):  Roosevelt Tutoring, Social Action, Interfaith

Sunday Services (Martha):  MOCA, Music, Worship

Faith Formation (Marina):  Chalice Circles, The Learning Journey, Youth & Family

Governance (Tovis):  Board of Trustees, Program Council, Finance, Personnel, Stewardship

Reviewed action items:

One-pagers – Ellen reported that the One Pager for Yaseen-Nesbit food distribution has been updated.  No others are needed from her cluster as so many programs, like Roosevelt tutoring, are in abeyance due to coronavirus.

Leadership Training video was reviewed and received positive feedback.

Worship Committee has 3 new people joining.  Rev. Brain and the Worship Committee have made some adjustments to the service to help lighten the load on the committee members.  Contacting more people to help the Worship Team is ongoing.

Posting Minutes of PC to the website – proposed that we review items to be included in the Minutes at the end of each meeting and modify if needed before posting.

Cluster Group Updates

Faith Formation Cluster :  Rev. Brian filled in for Marina.  Rev. Brian met with Julia, Lee and Susie to discuss re-establishing an Adult RE. Committee.  More people are needed for the committee.  Some options for Adult RE opportunities are “Beloved Conversations” and inviting everyone to do a Faith Foundation Plan (how would you like to grow spiritually?).  An Interim DRE has been hired to start October 1st

Operations Cluster:  Alex spoke to each committee in this cluster.  A protocol for safely working in and around the building needs to be worked out due to COVID-19.  CUUE should be informed and included when anything connects us to other congregations and UUism.  For example, UUFRC and UUSM will be sharing services once a month.  This is an opportunity that has opened up now that services are virtual. 

Congregational Life Cluster:  Caring Committee needs more volunteers.  Rev. Brian would like to establish a Pastoral Care Team and have volunteers and staff take a training course.  Caring Committee and Pastoral Care Team could be combined.

Sunday Services Cluster:  Martha reported that both Worship & Music committees felt supported.  More volunteers needed for sound and AV.  Some procedures being simplified.  Need for donated computers to loan to people who may not be able to connect to the Worship services because they don’t have the equipment or technology.  Computers could be signed out from the office for a month at a time.

Messaging about Program Council

Communicate to the congregation the purpose and initiatives of the PC – why we exist.  Alex suggested creating an FAQ sheet.

Action Items:

All- remind chairs to ID their committee when filling out the event request form, and to always fill out the event request form even if the event will not be in the building.

All – continue to ask for One Pagers from committees.

Rev. Brian – ask if anyone has a laptop to donate for people to use at home.  Talk to Josh about Worship team members who may need a computer in order to be able to help out with the technology of the services. 

Alex – add RACI discussion to October Agenda.

Alex – Find a contact for the UUSM Program Council chair.  Possibly set up a meeting to learn from them since they have had a PC for several years.

Alex – draft an FAQ sheet about the purpose and role of the PC by October 5th

Lori – discuss with Caring Committee chair the possibility of Pastoral Care Team either as a subcommittee or separate committee. 

All – think of names of people who may want to be part of Adult RE committee and help strategize.

Marina and Tovis – give Cluster Update at October 26th meeting.
